Hard drive serial number tracking during secure destruction

Hard Drive Serial Number Tracking and Audit Reports in NJ

Secure, Documented Destruction | Serving All of New Jersey

A certificate that says “250 drives destroyed” doesn’t tell an auditor whether the laptop in your asset register was one of them. Hard drive destruction with serial number tracking closes that gap. NJ Shredding records each drive’s serial number, reconciles it against your list, reports exceptions and lists every serial with your Certificate of Destruction, for businesses throughout New Jersey.

Serial Number Tracking in New Jersey: Why Auditors Ask for It

HIPAA risk assessments, financial-services exams, SOC 2 audits and client security questionnaires often ask how you prove a specific device’s data was destroyed. A drive serial number is the most direct link between a physical drive and your records. When the serial appears on the destruction report, you can close the asset in your register and answer the auditor with a document instead of an explanation.

Serial tracking also protects you during the job. If a drive on your list never shows up in the batch, you find out right away, not months later during an audit.

Serial-Number Inventory, Exception Handling and Audit Reports

Here’s an example of the information captured. Columns can match your asset system, and device-to-drive associations (which laptop a drive came from) can be included if you provide them:

Asset tag / device Drive serial Media type Custody event Method Date Exception Certificate ref.
LT-0412 (laptop) Recorded SSD 2.5″ Received, container 1 Shredded Job date None Your certificate no.
SRV-07 bay 3 Recorded HDD 3.5″ Received, container 1 Shredded Job date None Your certificate no.
LT-0419 (laptop) Not found in batch Unknown Not received Not destroyed Not applicable Missing from batch — reported Not applicable
No tag Label damaged HDD 2.5″ Received, container 2 Shredded Job date Unreadable serial — counted Your certificate no.

What Gets Tracked: HDD, SSD, NVMe and Embedded Storage

Serial numbers are printed on the labels of HDDs, SSDs and most M.2 NVMe drives. Failed drives still carry their serials and still hold recoverable data, so they belong on the list. Storage soldered onto laptop boards doesn’t have a separate drive serial; in that case the device’s own serial or asset tag is recorded instead. For physical destruction we follow the “Destroy” category of NIST SP 800-88, which means the media is physically shredded so it cannot be read or reassembled. You may also see DoD 5220.22-M on policies; that is an overwrite (wiping) method for working drives, not a physical destruction standard.

Preparation, Drive Removal and Secure Staging

Serial tracking works best with a manifest: an export from your asset system listing tags and serial numbers. Before staging, confirm backups and that nothing is under a retention hold. Decide whether your team removes drives or we quote removal; if drives stay in devices, the device serial can be recorded. Keep staged drives in locked containers until we arrive.

Pickup, Reconciliation and Chain of Custody

At pickup or onsite, each drive is recorded and compared with your manifest. Drives are kept in sealed containers under documented chain of custody until destroyed. Our onsite trucks allow you to watch the shredding on camera, so you can see the reconciled batch destroyed.

Pricing and New Jersey Scheduling

Serial tracking adds labor, so it is shown as a separate line on your quote along with drive count, media mix, removal and onsite versus offsite service. It is most valuable for regulated data, large refresh projects and any job where you need to close assets in a register.

Frequently Asked Questions

How do I prepare drives for serial number tracking?

Send us an asset or serial list if you have one, confirm backups and retention holds, and keep drives in locked containers until pickup.

Can you track SSDs and NVMe drives?

Yes. Most have printed serials. For storage soldered to a board, we record the device serial or asset tag instead.

What does the Certificate of Destruction contain?

The date, location, quantity, media types and method, linked to a serial-number listing and any exceptions.

What happens if a drive on my list is missing?

It is reported as an exception so you can locate it. It is never marked as destroyed if we didn’t receive it.

How long does serial-tracked destruction take?

Recording each serial adds time, so it depends on the number of drives. We’ll estimate it when we quote.

How soon can you schedule a serial-tracked job?

It depends on volume and our route schedule. Call (201) 371-5900 for available dates.
